Recruiting For Less – Our client, a Miami based leading global pharmaceutical market research firm, is in need of an Executive Administrator to support its CEO.

Location : Miami Edgewater. Should not live further than 20 minutes from the office

Responsibilities:
• Manage schedule/travel of Principal (Outlook expert), serves as Gatekeeper
• Draft correspondence and memos on behalf of Principal to internal and external stakeholders
• Keep current with all project activity, managing timelines, tasks etc.
• Proficiency in Excel, Word and PowerPoint
• Bookkeeping (trained on Quickbooks)
• Able to perform AP and AR tasks including invoice chasing and payments to vendors
• Legal contract familiarity (able to read a contract and highlight questions that need to be reviewed by a lawyer)
• Commercial assistance (calls to clients, to vendors)
• Management of employee files including PTO record keeping and expense reimbursement
• Petty cash handling
• Filing, bookkeeping and general office admin

Qualifications:
• 5+ years of experience in similar role
• Anticipate issues and proactively initiate appropriate action to ensure the most effective use of the Principal’s time
• Professionalism and ability to work independentlyExtremely reliable and knows how to handle confidential information
• A positive attitude towards teamwork and strong relational skills
• Strong organizational skills, ability to establish & manage priorities with a drive to complete assigned tasks
• Accurate typing, attention to detail a must.

Compensation
• To 55k, Vacation, Benefits. 401k
