Executive Assistant

Our Toronto-based client, an investment research and consulting firm is in need of an Executive Assistant to be responsible for the administrative, organizational and logistical support to Executive officers. The successful candidate should demonstrate a proactive work ethic, strong professionalism and a keen eye for detail.

Responsibilities:
· Coordinate schedules, appointments and arrangements in calendars for Executives
· Organize internal and external meetings involving executive leadership
· Greet clients and visitors to executive office, serve as a gatekeeper for executive officers, and manage relationships with external vendors
· Attend to phone calls/emails from vendors, clients, prospects and referral sources, ensuring satisfaction with all communications
· Conduct basic research to enable strategic decision-making
· Assist with the preparation of presentations, as well as internal and external communications
· Ensure all reports, data files, and databases are properly managed and organized
· Facilities management

Qualifications:
· Minimum 5+ years’ experience in a senior administrative position
· University/College degree preferred
· Strong computer proficiency in MS Office (Word, Excel, PowerPoint, etc.)
· Experience in financial services an asset
· Capable of working extended hours
· Proven ability to effectively prioritize work flow and strong organization skills
· Excellent interpersonal, written and oral communication skills
· High standards of ethics and confidentiality to handle sensitive information

Compensation:
· Salary: $35-45K commensurate with experience
· Vacation: 2 weeks
