Our North York client, an established law firm, is looking for a Receptionist/Office Admin.  This role will conduct general receptionist/admin duties, as well as assist the lawyers in their work.

 Responsibilities:

  • Receive phone calls, requests, faxes and mail, etc. and courteously deal with all by personally responding, delegating, or re-directing
  • Managing incoming and outgoing faxes;
  • Receiving and distributing all incoming couriers;
  • Photocopy, file and scan, as needed;
  • Schedule organization, including travel, etc. as required
  • Assist lawyers with will and annual corporate minutes prep
  • Conduct e-mail filing and storage
  • Develop agendas, arrange meetings, record and transcribe minutes, and maintain a record of outstanding action items
  • Prepare meeting minutes
  • Preparation of expense reports
  • Collection and filing of all confidential and business information as required and ensure files are easily retrieved
  • Draft, compose, and distribute correspondence
  • Assist with various projects as required
  • Daily sorting and posting of external manifests/documents
  • Managing invoicing as required
  • Communicate with co-workers and customers, effectively and professionally to obtain necessary information for project completion
  • Manage office supply inventory

Qualifications

  • Post high school Degree or Diploma.
  • 2+ years’ experience in an office admin role.
  • Excellent technical, word processing and administrative skills.
  • Excellent data processing skills.
  • Excellent computer skills in MS Excel (priority), Word, and PowerPoint.
  • Good business writing skills.
  • Organized with strong attention to detail and accuracy.
  • Experience in Legal Administration or Business Process Writing an advantage.
